The purpose of this policy is to explain to you how we control, process, handle and protect your personal information while browsing or using this website, including your rights under current laws and regulations. We are exempt from registration in the ICO Data Protection Register because we are only processing personal data for the core business purposes.

If, as determined by us, the lawful basis upon which we process your personal information changes, we will notify you about the change and any new lawful basis to be used if required. We shall stop processing your personal information if the lawful basis used is no longer relevant.

We do this by placing a small text file on your device / computer hard drive to track how you use the website, to record or log whether you have seen particular messages that we display, to keep you logged into the website where applicable, to display relevant adverts or content. If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

CACHING

This site utilises caching in order to facilitate a faster response time and better user experience.  Caching potentially stores a duplicate copy of every web page that is on display on this site.  All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor.  Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before the natural expiration, if necessary.  We may use QUIC.cloud services to process & cache your data temporarily.  Please see https://quic.cloud/privacy-policy/ for more details.

EMAIL MARKETING MESSAGES AND SUBSCRIPTION

Under the GDPR we use the consent lawful basis for anyone subscribing to our marketing mailing list and joining our membership. We only collect certain data about you, as detailed in the “Processing of your personal data” above. Any email marketing messages we send are done so through an EMS, email marketing service provider. An EMS is a third-party service provider of software / applications that allows marketers to send out email marketing campaigns to a list of users.

Email marketing messages that we send may contain tracking beacons / tracked clickable links or similar server technologies in order to track subscriber activity within email marketing messages. Where used, such marketing messages may record a range of data such as; times, dates, I.P addresses, opens, clicks, forwards, geographic and demographic data. Such data, within its limitations will show the activity each subscriber made for that email campaign.

Any email marketing messages we send are in accordance with the GDPR and the PECR. We provide you with an easy method to withdraw your consent (unsubscribe) or manage your preferences / the information we hold about you at any time. Our EMS provider is Squarespace. We hold the following information about you within our EMS system:

  • Email address

  • First Name

  • Last Name

  • I.P address

  • Membership Level (if applicable)

  • How your information was obtained

  • Subscription time & date

DATA COLLECTED TO MANAGE YOUR MEMBERSHIP

At checkout, we will collect your name, email address, username, and password. This information is used to set up your account for our site. If you are redirected to an offsite payment gateway to complete your payment, we may store this information in a temporary session variable to set up your account when you return to our site.

At checkout, we may also collect your billing address and phone number. This information is used to confirm your credit card. The billing address and phone number are saved by our site to prepopulate the checkout form for future purchases and so we can get in touch with you if needed to discuss your order.

At checkout, we may also collect your credit card number, expiration date, and security code. This information is passed to our payment gateway to process your purchase. The last 4 digits of your credit card number and the expiration date are saved by our site to use for reference and to send you an email if your credit card will expire before the next recurring payment.

When logged in, we use cookies to track some of your activity on our site including logins, visits, and page views.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
